This Privacy Policy ("Policy") describes how TaxVero collects, uses, stores, and protects personal information through its services, software and websites ("Services") offered by Nablasol Inc. and/or its subsidiaries and affiliates (referred to as "TaxVero", "We", "Our", "Us"). This Policy applies to the Services generally, including new features and capabilities that TaxVero may introduce from time to time.
Your use of the Services is also governed by our Terms of Service.
PLEASE READ THIS PRIVACY POLICY CAREFULLY BEFORE USING OUR SERVICES
This Policy applies to three audiences: website visitors who browse taxvero.com or submit inquiries; the businesses and tax professionals who subscribe to TaxVero, including enrolled agents, CPAs, tax resolution firms, and other organizations that use the Services (collectively, "Subscribers"); and the taxpayer-clients whose IRS transcripts, tax records, and financial documents are entered into TaxVero by a Subscriber on their behalf. By accessing or using the Services, you acknowledge that personal information may be collected and processed as described in this Policy.
1. Information We Collect
1.1 Information You Provide to Us
Website: When you complete a contact form, request a demo, subscribe to our communications, register for an event or webinar, respond to a survey, subscribe to the Services, or otherwise communicate with us, we collect the information you provide, which may include your name, professional email address, phone number, firm name, billing and payment information, and the content of your inquiry or response.
Platform: We collect information that a Subscriber, or a taxpayer-client through the Subscriber, provides directly through the platform, including:
- Account data: name, firm name, email address, and login credentials
- Client taxpayer information: names, taxpayer identification numbers (TINs / SSNs), income records, filing history, financial documents, and correspondence entered or imported by a Subscriber on a taxpayer-client's behalf
- Documents and files uploaded by a Subscriber or a taxpayer-client through the platform's document management and client portal capabilities, including transcripts a Subscriber already has and chooses to upload rather than pull through the platform
- Client communications exchanged with a taxpayer-client through the platform's client portal
- Case and workflow records: case status, task assignments, notes, and generated documents such as tax forms and resolution proposals produced through use of the platform
- Practice management data: billing and invoicing records, e-signatures, contact and scheduling information, and other data generated as applicable to the services a Subscriber uses
Subscribers are responsible for ensuring they hold appropriate taxpayer authorization, as applicable to the services being provided ("Client Authorization"), including any notices, consents, and authorizations required under applicable law governing the confidentiality of tax return information, before submitting taxpayer data to the platform.
1.2 Information Collected Automatically
Website: When you access our website, we automatically collect technical information such as your IP address, browser and device information, and the pages you visit. We and our third-party partners also use cookies, pixels, and similar tracking technologies for analytics and advertising purposes, and may associate this information with a form you have submitted or with your advertising profile with the applicable provider, in order to measure our marketing performance and show you relevant ads on other sites. Cookies set by these providers remain on your device for varying periods depending on the provider and cookie type. You can control cookies through your browser settings, and, where available, through each provider's own advertising preference tools.
Platform: When you access the platform, we automatically collect usage data such as feature access, error frequency, and session activity, which may be tied to an identifiable Subscriber account or user. We use cookies and similar technologies within the platform, including internal and third-party analytics tools, to authenticate your session, maintain security, remember your preferences, and understand platform usage. We use this data to provide support, maintain security, and guide product development.
1.3 Information We Receive from Other Sources
We may receive information from:
- The IRS and, where applicable, comparable state tax authorities: IRS transcripts and related tax compliance records obtained through transcript pulls made under a Subscriber's Client Authorization, as described in Section 3.2
- Third-party service providers and integrations a Subscriber chooses to connect to the platform, as described in Section 3.8
- Publicly available or otherwise lawfully available sources
1.4 Data Processing Roles
For personal information collected through our website and marketing, TaxVero acts as the data controller. For personal information entered into the platform by a Subscriber, the Subscriber acts as the controller and TaxVero acts as the data processor, processing that data on the Subscriber's behalf to provide and support the Services. For aggregate data used to develop and improve TaxVero's products, models, and services, TaxVero acts as an independent controller.
2. How We Use Information
2.1 General Purposes
We use the information we collect to:
- Deliver, maintain, and improve the TaxVero platform and its capabilities
- Process demo requests, onboard Subscribers, and provide customer support
- Send operational communications — billing notices, maintenance windows, and security alerts
- Detect, investigate, and prevent fraud, abuse, and security incidents
- Analyze platform usage — including at the level of a specific Subscriber account or user — to guide product decisions, provide support, and maintain security
- Comply with applicable laws, regulations, and enforceable government requests
- Send marketing and educational content to website visitors, prospective customers, and Subscribers, such as newsletters, product updates, and event invitations
2.2 AI-Assisted Processing
TaxVero uses artificial intelligence and automated analysis to support Subscribers as they work a taxpayer's case, for example, surfacing patterns in a taxpayer's compliance history or modeling possible resolution outcomes. These are decision-support tools intended to inform, not replace, a Subscriber's professional judgment. This applies across the platform's AI-assisted capabilities as they exist today or are added over time. AI-generated or automated outputs may contain errors and should be reviewed by an appropriately qualified professional before being relied upon for tax, financial, legal, or other consequential decisions.
We may also use de-identified or aggregated data, including data pooled across Subscriber accounts, to develop, train, and improve our products, models, and services, in accordance with applicable law and this Policy.
2.3 Marketing Communications
With appropriate consent or as otherwise permitted by law, TaxVero may send marketing communications by email or text message to website visitors, prospective customers, and Subscribers. Text message marketing requires your prior opt-in consent, and message and data rates may apply; you may opt out at any time by replying STOP. You may opt out of marketing emails at any time using the unsubscribe link included in each message. Opting out of marketing communications does not affect transactional or service-related messages necessary to operate your account or the Services.
3. Sharing of Information
3.1 No Sale of Personal Information
TaxVero does not sell personal information to data brokers or other third parties for money. As described in Section 3.4, some of our advertising and analytics relationships may still meet the broader "sale" definition used in certain state privacy laws, including the CCPA — see Section 7.
3.2 IRS and Government Agencies
To pull and deliver the IRS transcripts, account data, and tax records the Services are built around, we transmit and receive information directly with the IRS and, where applicable, comparable state tax authorities. This exchange occurs under a Subscriber's Client Authorization and primarily for the purpose of accessing and delivering the requested taxpayer data.
3.3 Service Providers and Subprocessors
We engage trusted third-party service providers that assist in operating TaxVero's infrastructure and services. These providers process data strictly on our behalf, under our instructions, and are bound by confidentiality and data protection agreements. Categories include:
- Cloud infrastructure and hosting providers
- Email delivery and customer communication services
- Customer support tooling
- Payment processors
- Artificial intelligence and machine learning service providers
3.4 Advertising and Analytics Partners
As described in Section 1.2, we use cookies, pixels, and similar technologies from third-party analytics and advertising providers to measure our marketing and show relevant ads on other sites. This involves sharing information about your visit with those providers for cross-context behavioral advertising, and may also constitute a "sale" of personal information under certain state privacy laws, including the CCPA (see Section 7). You can limit this sharing using your browser's cookie settings or the ad-preference tools each provider makes available.
3.5 Legal Disclosure and Protection of Rights
We may disclose information where we believe in good faith that doing so is necessary to:
- Comply with a valid law, subpoena, court order, or government request
- Enforce our agreements
- Detect, investigate, or prevent fraud, security incidents, or abuse
- Protect the rights, property, or safety of TaxVero, our Subscribers, or the public
3.6 Business Transfers
In the event of a merger, acquisition, or sale of substantially all of TaxVero's assets, personal data may transfer to the acquiring entity. We will notify affected parties as required by applicable law.
3.7 Referral Partners
Where relevant to a taxpayer-client's situation, TaxVero may make available a referral to a third-party business, such as a lender or other service provider, that may be able to help them ("Referral Partner"). A Subscriber may refer a taxpayer-client directly, or may enable the platform to surface a Referral Partner offer to a taxpayer-client automatically — for example, through the client portal or by email — a capability that stays off unless and until the Subscriber turns it on. If a referral is made, the taxpayer-client's contact information may be shared with the Referral Partner so they can follow up with a relevant offer.
TaxVero and/or the Subscriber may receive compensation from a Referral Partner in connection with a referral. The Subscriber is responsible for complying with applicable law before enabling or making a referral, including obtaining any consent from the taxpayer-client that may be required.
3.8 At Subscriber Direction
Subscribers may connect TaxVero to other software and systems of their choosing. Data shared with connected systems at a Subscriber's explicit instruction is governed by those third parties' own privacy terms.
4. Data Security
4.1 Security Measures
We implement and maintain technical and organizational safeguards designed to protect your information, including:
- Encryption of data in transit (TLS) and at rest
- Role-based access controls limiting data access to authorized personnel on a strict need-to-know basis
- Password-protected accounts with multi-factor authentication support
- Regular security monitoring and vulnerability management
4.2 Breach Notification
No method of electronic transmission or storage is completely secure. In the event of a data breach that materially affects your personal information, we will notify affected parties as required by applicable law.
4.3 Account Security Responsibilities
Subscribers are responsible for safeguarding their own account credentials and for the security practices of staff members and other authorized users who access the platform. This includes assigning access on a need-to-know basis, promptly removing access for users who leave the firm or change roles, enabling available authentication protections, and not sharing accounts between individuals.
If you access TaxVero through a client portal provided by a Subscriber, you are responsible for keeping your own login credentials confidential and for not sharing portal access with others.
You must promptly notify us if you suspect or know of any unauthorized access to your account.
5. Data Retention
5.1 Retention Periods
Platform and subscriber data — including the platform usage data described in Section 1.2 — is retained for the duration of an active subscription and deleted within the period specified in the Terms of Service following a written deletion request. Residual copies may persist in encrypted backups for up to an additional 60 days, after which they are permanently purged in the normal course of backup rotation.
Contact and inquiry data submitted through our website is retained for as long as necessary to respond to your inquiry and support any resulting business relationship, after which it is deleted or anonymized, or until you request deletion — whichever comes first.
5.2 Extended Retention
Retention periods may be extended where required by applicable law or where data is necessary to resolve an open legal dispute or enforce an existing agreement.
6. Your Rights
6.1 General Rights
Regardless of your location, you may contact us to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your personal information, subject to applicable legal retention obligations
- Restrict or object to certain processing activities
- Receive a copy of your data in a portable format
We will verify your identity and respond within the timeframe required by applicable law, and generally within 30 days.
If we decline your request, we will explain why. You may appeal that decision by contacting us at the details in Section 9.3 below, and we will respond to your appeal within the timeframe required by applicable law.
6.2 Taxpayer-Clients
If you were given access to TaxVero by a firm or tax professional you work with, and you want to access or delete information about you in their account, please contact them directly. As the controller of that data, they are the appropriate party to handle such requests.
7. California Privacy Rights
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, "CCPA"), grants you additional rights over the personal information we collect. These include the rights to know, delete, and correct personal information, the right to opt out of the sale or sharing of personal information, and the right not to be discriminated against for exercising them.
As described in Section 3.4, we share information about website visits with advertising and analytics partners for cross-context behavioral advertising, which may constitute a "sale" or "share" under the CCPA. Where the Referral Partner capability is enabled, that sharing may also be subject to your opt-out right.
To exercise any of these rights, including opting out of the sale or sharing described above, contact us using the details in Section 9.3 below. You may also designate an authorized agent to submit a request on your behalf, subject to verification of both your identity and the agent's authority. We will acknowledge a verifiable request within 10 business days and respond within 45 calendar days, with one possible 45-day extension where reasonably necessary; we will notify you if an extension applies.
8. Children's Privacy
TaxVero is a professional platform intended for licensed tax professionals and adult business users. We do not knowingly collect personal information directly from children under 13. If we become aware that a child under 13 has provided personal information directly to us, we will delete it promptly.
Tax records submitted to the platform by a Subscriber may include information about dependents, including minors. That information is processed as part of the Subscriber's Customer Data under the Client Authorization described in Section 1.1, rather than collected directly from a child.
If you have questions about information relating to a child, please contact us at the details provided in Section 9.3 below.
9. General Terms
9.1 Third-Party Links
Our website and platform may include links to third-party websites or services. TaxVero is not responsible for the privacy practices or content of those third parties. We encourage you to review the privacy policies of any external services you access.
9.2 Modifications
We may update this Privacy Policy from time to time and will revise the effective date at the bottom of this page when we do. We encourage you to check this page periodically for the latest version.
9.3 Contact Us
Any privacy-related questions, rights requests, or concerns should be submitted in writing to Nablasol Inc., 16192 Coastal Highway, Lewes, Delaware 19958, USA, or by email to [email protected].
